What’s New in the Veeva Quality Vault for 26R1?

The Veeva Vault 26R1 release, scheduled for April 17, introduces a range of new features, along with key enhancements and issue resolutions. Bright Affect has assessed these updates to highlight what will have the greatest impact on your Quality users across the Quality Vault.

Complaint Agent & Deviation Agent: Faster Insights, Smarter Decisions

This release introduces the first AI agents in Veeva QMS, designed to help Quality users more efficiently interpret complex Complaint and Deviation data. At Bright Affect, we often hear how much time Quality teams spend piecing together information across records, so we see real value in the agents’ ability to generate clear, narrative‑style summaries of Investigations and CAPAs on demand. From our perspective, this will help end Quality users cut down on manual review while improving the consistency of documentation; something customers regularly tell us they’re striving for.

We’re also looking forward to the new Veeva AI Chat capabilities, which allows Quality users to ask questions directly against Complaint and Deviation records and receive contextual responses based solely on Vault data. From Bright Affect’s point of view, this gives teams faster insights and more confidence in their decisions without leaving the system. And with configurable options to tailor how the agents operate, organisations can align the functionality to their own processes while maintaining the control and compliance they need. Automated Language Translations: Faster Triage, No Language Barriers

The new automated Language Translations feature streamlines how product quality complaints are captured and triaged across global organisations. We often hear how language barriers slow down early assessment, so we see real value in enabling complaint data to be translated instantly within Vault. With both the original and translated text stored side by side, Quality teams can search and spot duplicates or recurring issues more easily.

This will remove a major bottleneck for Quality users, giving them faster triage and greater confidence in decision‑making. Translation can be triggered automatically at key lifecycle stages or manually, depending on how teams prefer to work. And with flexible configuration for which fields are translated, organisations can tailor the setup to their processes while keeping all complaint data centralised and inspection ready. Standalone CAPA: A Clearer Path for Follow-Up Actions

26R1 introduces a more structured approach to managing Standalone CAPAs in Veeva QMS, giving organisations greater clarity when handling both proactive improvements and follow‑up actions tied to ineffective CAPAs. In the day-to-day, we know that teams struggle to manage event‑driven follow‑ups in a consistent way, especially when closed quality events haven’t fully resolved the underlying issue. That’s why we see real value in moving beyond the previous reliance on Continuous Improvement records alone, which were well suited for proactive work but lacked a standardised method for reactive activities.

From our perspective, the new ability to distinguish proactive and reactive efforts using the Source field (combined with dedicated Standalone CAPA fields that link Continuous Improvement records to Investigations and Root Cause Analyses), gives Quality users a clearer, more reliable framework. Customers tell us this kind of structure helps them preserve data integrity while still taking meaningful follow‑up action. Ultimately, we will start to see deeper issue resolution, allowing us to ensure ineffective CAPAs can be addressed systematically without disrupting existing records or processes. External Collaboration: Controlled Access, Seamless Handoffs, Full Traceability

26R1 strengthens external collaboration by making it easier (and more secure) for organisations to share final, approved documents. At Bright Affect, we know that manual email distribution can create risk and inconsistency, so we see real value in Vault now sending external collaborators a time‑bound link automatically at workflow completion. This gives them controlled access to view or download the steady‑state document, while internal teams retain full visibility of access activity and expiration. From our perspective, it’s a more auditable way to manage external sharing.

In parallel, the new task‑reassignment capabilities bring flexibility that customers frequently tell us they’ve been missing. If an external collaborator becomes unavailable, Quality users can reassign tasks mid‑process without derailing progress. Vault manages the transition behind the scenes — creating tasks for new collaborators, removing access for those replaced, and keeping everyone else moving. For Quality teams, this means smoother collaboration and clearer traceability throughout the workflow.

Supplier Questionnaires: Faster Collaboration, Full Traceability

The latest Veeva Vault release significantly improves how Supplier Questionnaires are completed by enabling real‑time collaboration with supplier teams. From our work with customers, we know how often offline coordination slows things down and makes it harder to maintain a clean audit trail. That’s why we see this new ability for Supplier External Collaborators to bring SMEs directly into the questionnaire as such a meaningful step forward. It reduces back‑and‑forth, and maintains controlled access limited to the questionnaire.

The new follow‑up capabilities build on this by giving Quality reviewers a structured way to request clarification on specific responses right inside Vault. In our experience, this kind of guided review loop helps suppliers respond more efficiently and ensures SMEs can re‑engage only where needed. Resulting in a faster, transparent process that stays inspection‑ready without relying on scattered emails or external communication.
