The Audit Room function receives several practical enhancements in 26R2, all designed to support smoother inspection management.

One of the standout improvements is support for multiple Scribe Notes. Rather than relying on a single running record, teams will be able to create multiple Scribe Notes within the same Inspection. Inspection Requests have also been improved through an expanded Inspection Request Card, which surfaces more key information directly within the Audit Room. Users will quickly be able to understand the status and context of requests without navigating through multiple screens.

To reduce manual administration, Vault will automatically add the assigned user to the Fulfiller role when an Inspection Request is assigned. This removes an additional configuration step. Organisations now have greater flexibility when managing Inspection Requests thanks to the ability to publish from any lifecycle state. Rather than being constrained by a specific workflow stage, teams can align publishing with their own quality processes and governance model.

These enhancements to the Audit Room feature will make Inspections feel less administrative for your users. Anything that reduces clicks, manual role assignment or unnecessary lifecycle transitions helps Inspection teams focus on responding to inspectors rather than system management. The addition of multiple Scribe Notes is particularly valuable for larger or longer-running Inspections, where different contributors need to document activities without trying to squeeze everything into a single document.

Risk Management, Complaints and Vault AI

26R2 also includes a range of enhancements across Risk Management and Complaints, alongside continued investment in Vault AI capabilities within the Quality suite.

While many of these are incremental improvements, they continue to strengthen connected quality processes, improve usability and introduce additional AI-assisted support for users managing quality events and documentation.

One theme we’re seeing across recent releases is that Veeva continues to connect quality processes rather than treating them as separate activities. The goal is focused on reducing duplicate effort and making information easier to find when it’s needed.

The continued expansion of Vault AI is also worth watching. Rather than replacing quality professionals, these capabilities are designed to reduce the time spent on repetitive administrative tasks, helping users find relevant information more quickly, navigate complex documentation and work more efficiently. As these AI capabilities continue to mature, they’ll likely become an increasingly valuable productivity tool for quality teams. Please see our separate article on Vault AI for more information.

External Collaboration

External Collaboration continues to evolve in 26R2 with additional support for Checklists and Inspection Requests, making it easier for organisations to collaborate securely with external partners during Audits and Inspections while maintaining governance within Vault.

For organisations working with contract manufacturers, suppliers or external auditors, secure collaboration is becoming increasingly important. We are sure these enhancements will help ensure external stakeholders can participate in controlled processes without compromising document security or compliance. By keeping activity within Vault, organisations can reduce reliance on email chains, shared drives and offline document exchanges while maintaining a clear audit trail throughout the inspection process.
