A role-based learning programme that turned widespread system familiarity into confident, compliant, best-practice use.
The Challenge
A top 20 global pharmaceutical company had rolled out Veeva MedComms across more than 50 countries, spanning eight different workflow variations. Adoption was widespread, but consistency wasn’t.
Over time, this complexity led to inconsistent ways of working, varying interpretations of core processes, and uneven confidence levels among users. While MedComms was embedded in daily operations, there was a growing need for greater clarity around global best practice and correct system usage.
This wasn’t a familiarity problem – it was a sustainability problem. Users needed a clearer understanding of how MedComms should be used within their specific roles, and why following agreed processes was critical, particularly for compliance and inspection readiness.
The Solution
We started with discovery. Working closely with key stakeholders, we reviewed how MedComms was being used in practice, conducted a Training Needs Analysis, and benchmarked the findings against industry best practice. The result was a clear picture of where workflows had drifted and where targeted learning could address them.
From there, we designed a blended programme built around three principles: clarity, scalability and role relevance.
A topic-driven curriculum: Rather than mapping content to job titles, we structured learning around the core MedComms processes themselves. This kept content modular and globally consistent, while allowing us to assign the right content to the right roles, through a tailored curriculum map.
eLearning and Quick Reference Guides as the backbone: On-demand digital learning gave users practical, task-focused content they could access across regions and time zones. Workflow walkthroughs reinforced correct system use, with role relevance clearly signposted throughout.
Instructor-Led Training (ILT) for depth and dialogue: Interactive, scenario-based sessions gave learners opportunities to explore real-world use cases, ask questions, and address common points of confusion. To support global adoption, ILT and just-in-time resources were delivered in English, Chinese, and Japanese.
The combined effect was a programme that bridged the gap between system configuration and everyday use, helping users understand not just how MedComms works, but how and why it should be used correctly within their specific role.
The Benefits
Although the programme has only recently been completed, early outcomes point towards:
- Greater consistency in how MedComms processes are applied across regions
- Clearer understanding of roles, responsibilities, and end-to-end workflows
- Reduced reliance on support teams through clearer guidance and accessible job aids and on-demand guidance
- Increased user confidence in correct system usage, strengthening ongoing inspection readiness
By combining structured learning pathways with flexible, just-in-time resources, the programme has laid strong foundations for sustainable adoption and continued optimisation of MedComms across the business.
