The latest Veeva Vault release introduces new features and enhancements aimed at simplifying workflows and enhancing the user experience. Here’s a brief look at what’s new in Quality and how these updates help your teams work more efficiently.
Streamlined Document Associations in Process Navigator
What is it?
The 25R2 release introduces the Dynamic Association of Process Navigator Documents, reducing manual work for Process Owners. Previously, document associations were added manually, leading to ongoing maintenance. Now, Process Owners can configure up to three matching rules per process to automatically associate documents based on Document Type, Subtype, and Classification, plus additional fields which can be selected by Admins (Boolean, Object Reference, or Picklist types).
The system applies OR logic across rules and lets Process Owners preview and edit the matched document list. Existing manual associations are automatically merged with dynamic results, removing duplicates in the process and displaying up to 200 documents alphabetically in the Associated Documents panel.
How does this help your end users?
This update simplifies document management, helping to maintain accurate, up-to-date process documentation.

Quick Document Insights with Hovercards
What is it?
Users can now hover over documents in the Process Navigator’s Associated Documents panel to instantly view a standard document hovercard. This hovercard displays key details like the document thumbnail, title, type, subtype, and last modified date.
How does this help your end users?
This simple enhancement improves usability and helps users quickly find the right document without needing to open it. It makes identifying documents, especially when document Names are non-descriptive or numeric, easier.
Standardised APQR Program Management
What is it?
APQR Programs enable teams to plan and execute Annual Product Quality Reviews using a standardised approach, which is also system managed.
Once an APQR Program is activated, Proposed APQRs automatically generate APQR records as the review period begins, and the system tracks progress against the approved plan.
Teams can streamline setup by using an approved APQR Program Template, and Vault automates APQR creation when the start date is reached, provided the Proposed APQR is in an Approved state.

How does this help your end users?
This feature reduces manual coordination and ensures consistent, regulated APQR execution across product portfolios.
Customers can initiate, approve, and track APQR programs over a defined period, ensuring compliance and alignment with quality goals.
Capture Historical Snapshots for Organisations and Qualifications
What is it?
The 25R2 release adds the ability to create point-in-time snapshots of Organisation and Qualification records, preserving historical data at key approval stages. These snapshots are generated when an Organisation is initially approved or reapproved, and when a Qualification is completed or requalified, providing a clear historical trail over time.
Users can easily view each snapshot to understand how records looked at different points in their lifecycle, which is especially valuable during audits.
Clicking on a snapshot displays the record’s field data exactly as it appeared when captured.

Each snapshot is saved as a read-only PDF document in Vault Quality, classified under new standard hierarchies.
Admins configure this feature using Formatted Output and secure the resulting documents to prevent edits.
What is it for?
Snapshots ensures organisations can confidently demonstrate their qualification and approval history when needed and that quality teams have reliable, read-only documentation to reference during audits, inspections, or internal reviews.
Improved 5 Whys Analysis User Experience

What is it?
The 25R2 release also enhances the 5 Whys Analysis tool with a smoother, more intuitive editing experience.
Now, when users edit a Why Card, fields are temporarily disabled during the save process, preventing accidental changes. A clear ‘Saved’ indicator confirms when updates are complete.
How does this help your end users?
This visibility across the editing user journey helps users track their progress and focus on root cause analysis without confusion.
