The latest Veeva Vault release, scheduled for General Release 11.04.25, brings new features and enhancements designed to streamline workflows and improve user experience. Here’s a quick overview of what’s new and how it benefits your end users.

Major Highlights

Process Reporting on Documents

What’s new?

With the 25R1 release, Vault expands the Process Reporting feature to include Documents, building on the functionality introduced in 24R3 for objects.

In 25R1, Document Reports now support the same formula field functions as Object Reports, simplifying workflow analysis without needing admin configuration. Starting with 25R2, only formula fields referencing Document Status will be supported, streamlining reporting and ensuring consistency.

How does this help?

This enhancement enables Users and Admins to report on business processes based on Lifecycle State information, helping to track process durations, state changes, and identify bottlenecks.

Automatic Mentioning in Collaborative Authoring

What’s new?

In 25R1, you can now @mention authors assigned to a task (for documents automatically checked out via workflow actions) even before they join the editing session, as Vault automatically adds workflow participants to the document on SharePoint upon checkout.

How does this help end users?

This streamlines collaboration and reduces confusion, allowing authors to start working together immediately. If a user cannot be added to the document, it will be logged in the .CSV response file, excluding external or guest accounts.

Managing Documents

Auto Bring Forward Annotations

What’s new?

Users can now automatically Bring Forward Annotations when a new Document version is created (via Create Draft, Upload New Version, or Check In actions), streamlining the process and reducing manual effort. This applies to both video and non-video Documents.

Admins can configure whether Resolved Annotations are automatically brought forward, with options for manual inclusion. Annotation settings are specified per Document Type and inherited from the Parent Document Type by default. Users with appropriate permissions can remove these Annotations, and OCR completion is required before they are applied to new versions, with a progress message for delays.

What does this mean for end users?

Once configured, Annotations will automatically be brought forward from one version to the next, standardizing and automating the process, enhancing efficiency and ensuring consistency in Document development.

User Experience

The 25R1 release brings a variety of enhancements aimed at improving the user experience. Here’s a look at some of the key updates.

Identifiable Browser Tabs

Browser Tabs are now named more meaningfully to help users easily identify open Tabs. Tab names are formatted from most to least specific, such as displaying the record or Document Name first, followed by the object label. This enhancement improves navigation, especially when multiple Vault Tabs are open, addressing the previous issue where all tabs were labelled simply “Veeva Vault.”

Keyboard Shortcut Hints

Actions with assigned keyboard shortcuts will now display the shortcut combination in the Actions Menu and when hovering over actions in the Action Bar, making it easier to discover and use keyboard shortcuts for common tasks.

Notifications

Vault 25R1 reduces notification overload by defaulting most templates to Summary Email Notifications, cutting email volume while still delivering essential information. Admins can customize settings, and users gain more control with new options like the Favorite Document Notification category and Summary Email Interval for adjusting email frequency.

Key updates include the shift of many templates to default to “Summary” instead of “Every Occurrence,” offering users a more efficient experience. New fields allow users to personalize their notification preferences, including the Favorite Document category and Summary Email Interval. Admins also have the option to defer some changes, such as Task Reminder categories and Delivery Interval updates, until 25R2. Additionally, User Account Emails now support up to 2,000 characters.

Admins

In addition, there are a range of Platform updates designed to enable Admins to further customize Vaults. For example, Vault now lets users create custom interfaces with JavaScript, offering flexibility and security. Admins can manage pages, set URLs, and provide easy access for a streamlined experience. Furthermore, Admins can now use Microsoft Word for outputs, simplifying management and speeding up generation. From version 25R2, only Word files will be used for new outputs, with Adobe support remaining.
