The 25R3 release will introduce several updates designed to make everyday workflows more intuitive and efficient for end-users of Veeva Vault QMS. With improved flexibility this release strengthens how teams interact with quality processes, suppliers, and external partners. We’ve picked out a few highlights below.

Audit Room: Keeping Everyone on Track

The latest updates to the Audit Room make it easier than ever for teams to stay on track. With new nudge notifications and group nudge functionality, users receive timely reminders when action is needed – like completing an overdue task or providing missing information without having to rely on manual follow-ups or endless emails.

The group nudge feature ensures that everyone involved gets the same reminder, helping teams stay aligned and accountable. For Quality and Audit teams, these improvements mean smoother collaboration, fewer delays, and a more proactive approach to audit readiness.

Recurrence and Duplicate Record Check & Suggestions: Smarter Guidance and Clearer Cues

25R3 makes Record Check & Suggestions more flexible and easier to use. Admins can now hide similarity scores for Recurrence Checks and Duplicate Checks, showing only tier labels like Likely Match, Possible Match, and Unlikely Match. They can also exclude alphanumeric values from system-generated suggestions, helping users focus on the most relevant matches.

The interface has been refreshed for clarity and usability. Users can quickly see all match parameters, manage suggested terms, and move them between “Match on Any of These Terms” and “Ignore These Suggested Terms” using drag-and-drop or multi-selection. Individual terms can be easily added or removed, making it faster to review and act on checks without getting lost in configuration details.

A new lightbulb icon replaces the old sparkle to highlight Record Suggestions, providing a clearer visual cue. For non-editable Quality Record Checks, exact match field values are now displayed directly, making verification simpler.

These updates give users a more guided, intuitive experience that simplifies day-to-day workflows and enhances overall efficiency. At Bright Affect, we believe this improved usability will empower teams to identify issues more quickly, make better-informed decisions, and reduce the likelihood of costly errors. By creating a smoother, more transparent process, these enhancements also help organisations maintain compliance with greater ease and confidence.

Supplier Risk Assessment: Strengthening Oversight and Efficiency

This release introduces Risk Factor Assessments, helping teams quickly identify and rank supplier risks during onboarding, evaluations, or requalification. Using predefined templates, users select relevant risk factors, and Vault automatically calculates a suggested risk level, while still allowing manual adjustments if needed.

At Bright Affect, our take is that the updates to Supplier Risk Assessments will significantly cut down setup time while ensuring every assessment is scored consistently across the board. By removing unnecessary complexity, users can now focus their attention where it really matters: the high-risk areas that need the most scrutiny. The result is faster, more precise risk evaluations, clearer insights to guide decision-making, and stronger oversight of supplier quality and performance overall.

Quality Teams Username Hovercard: Information at a Glance

With the introduction of Hovercards for Quality Team members, we’ve been looking at how users can now access key information at a glance, without ever leaving the page. Simply hovering over a team member’s name reveals the details admins have chosen to display, such as their role or contact information. Our take is that it’s a small change that makes a big difference: saving time, clarifying responsibilities, and helping teams connect with the right people faster. The result will bring smoother communication and greater efficiency across quality and audit workflows.

External Collaboration: Easier Qualification and Questionnaire Management

25R3 expands External Collaboration to Organisation and Qualification records, allowing teams to send checklist-based questionnaires to external partners. Temporary Vault access lets partners complete tasks, such as Supplier Qualification or Requalification Assessments without compromising security. Completed tasks automatically revoke access, keeping processes efficient and controlled.

We often hear from Quality users that External Collaboration can be a challenge for Quality users – finding the right balance between maintaining control over Vault access and enabling smooth, efficient collaboration. Veeva’s ongoing focus on improving External Collaboration continues to make this process simpler and more effective for teams. For end-users, this update means faster, more structured communication with suppliers, easier data collection on capabilities and compliance, and a streamlined workflow that supports more effective collaboration with external partners.

Reassigning External Collaborators on Checklists: Seamless Continuity

Finally, in 25R3 users will be able to reassign External Collaborators on both workflow tasks and associated in-progress Checklists. Previously, if an assigned partner became unavailable, critical tasks like Supplier Qualifications or Pre-Audit Assessments could be delayed. Now, users can quickly select a new External Collaborator, ensuring that the Checklist’s active workflow task is reassigned seamlessly and the parent record is updated automatically.

At Bright Affect, we think that this enhancement will make a real difference in how teams will collaborate. By keeping external partner workflows uninterrupted and minimising bottlenecks, it enables smoother communication and greater momentum across projects. Just as importantly, it supports teams in maintaining efficiency and compliance throughout every stage of External Collaboration.

In Summary

At Bright Affect, we see 25R3 as a meaningful step toward a smarter, more connected approach to Quality Management. The release strengthens how teams interact with data and decisions, incorporating new compliance-driven and insight-driven processes to QMS. By embedding collaboration and guidance directly into workflows (through features like Enhanced Risk Assessments, Hovercards, and External Collaboration tools), Veeva is reducing friction and improving visibility across the board. For Quality teams, this means greater efficiency, consistency, and confidence in every stage of their operations.
